Privacy Policy

PelaSync ("PelaSync," "we," "us," or "our") provides a service that lets practitioners collect client reflections through simple SMS journaling. This Privacy Policy explains what information we collect, how we use it, and the choices available to practitioners and their clients.

1. Who this policy covers

PelaSync serves two groups: practitioners (independent providers, coaches, therapists, consultants, and wellness professionals who use PelaSync to receive client entries) and clients (people who send text-message reflections to a practitioner's dedicated PelaSync number). This policy applies to both.

2. Information we collect

Account information. When a practitioner creates an account, we collect details such as name, email address, practice name, and login credentials.
Client contact details. To connect a client, we collect the client's name and phone number, along with the client's consent to receive and send text messages.
Client entries and messages. The text reflections clients send, along with timestamps, are stored so the practitioner can review them.
Usage information. Basic technical data such as device and browser type, IP address, and how the dashboard is used, collected to keep the service secure and reliable.

3. How we use information

To deliver the core service — routing client text messages to the practitioner's dashboard and organizing entries.
To provide optional features such as summaries and pattern highlights (our "Snag" assistant) that help practitioners review entries more efficiently.
To send account notifications and reminders that practitioners have enabled.
To secure, maintain, and improve the service, and to comply with legal obligations.

4. How we share information

We do not sell personal information, and we do not use client entries for advertising. We share information only in limited circumstances:

With the practitioner. A client's entries are visible only to the practitioner (and their authorized staff) the client is connected to.
Service providers. Trusted vendors that help us operate the service (for example, SMS delivery, hosting, and infrastructure) may process data on our behalf under confidentiality obligations.
Legal reasons. When required by law, or to protect the rights, safety, and security of users and the public.

5. Text messaging & consent

Clients are enrolled only after giving consent to receive text messages from PelaSync on behalf of their practitioner. Message and data rates may apply. Clients can stop messages at any time by replying STOP, and can request help by replying HELP.

6. Data security

Client entries are sensitive. We use technical and organizational safeguards designed to protect information in transit and at rest, restrict access to authorized personnel, and host on trusted, certified infrastructure. No method of transmission or storage is completely secure, but we work to protect information at every step.

7. Data retention

We retain account and entry information for as long as an account is active or as needed to provide the service. Practitioners can request deletion of their account and associated client data; we will delete or de-identify information unless we are required to retain it for legal or security reasons.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to certain processing. Practitioners can manage much of this from their dashboard. Clients can exercise these rights by contacting their practitioner or by reaching us using the details below.

9. Children's privacy

PelaSync is intended for use by practitioners and adult clients. It is not directed to children, and we do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
